Filtering applies a set of matching rules to incoming mail and outgoing mail, then executes a specified action. You can filter your incoming or outgoing mail messages to sort them into folders, automatically tag them, forward them, or discard them. Filters are applied in the order that they are listed. You can change the order at any time. You can create filters to do the following:
Sort new incoming messages into folders: All email messages from a contact are automatically moved into your desired folder upon receipt.
Tag new messages: Mark emails with specific tags. For example, email messages from the corporate-events mailing list is marked with the Events tag.
Discard new incoming email: Email messages received from a particular email address can be moved to the Trash folder.
Forward new messages automatically: Email messages received from a certain email address can be forwarded automatically.
Sort new sent messages: Arrange messages by specific topic-related folders.
To set up any filters, first log into your email online at mymail.cableone.net
To sort new incoming messages into folders:
1. Click "Preferences" at the top then "Filters" on the left.
2. Choose "New Filter" and name the filter anything you'd like.
3. Select filter by Subject, From, To, et cetera from the drop down box. For example, click "Subject" in the drop down box.
4. Enter the verbiage you wish to filter in the Contains field. For example, if you want to filter all email that has the subject containing the word Deals, you will want to type the word Deals in the field.
5. Under "Perform the following actions:" you can choose Move into Folder, click Browse, then choose the folder you want the message to go to. Lastly, click "OK" then click "Save" in the upper left hand corner.
This example will automatically send all email received with the word Deals in the subject line to your specified folder.
To tag new incoming messages:
1. Click "Preferences" at the top then "Filters" on the left.
2. Choose "New Filter" and name the filter anything you'd like.
3. Select filter by Subject, From, To, et cetera from the drop down box. For example, click "Subject" in the drop down box.
4. Enter the verbiage you wish to filter in the Contains field. For example, if you want to filter all email that has the subject containing the word Cats, you will want to type the word Cats in the field.
5. Under "Perform the following actions:" you can choose Tag with, click Browse, then click "New". Name the tag whatever you wish and choose a color. Click all of the "OKs". Lastly, click "Save" in the upper left hand corner.
This example will automatically tag all email received with the word Cats in the subject with the tag and color you chose.
To discard specific new incoming email:
1. Click "Preferences" at the top then "Filters" on the left.
2. Choose "New Filter" and name the filter anything you'd like.
3. Select filter From, To, et cetera from the drop down box. For example, click "Subject" in the drop down box.
4. Enter the email address you wish to automatically send to trash.
5. Under "Perform the following actions:" Choose Move into Folder, click Browse, then choose the "Trash" folder. Lastly, click "OK" then click "Save" in the upper left hand corner.
This example will automatically send all email received from the specified email address to the Trash folder.
To forward new messages automatically:
1. Click "Preferences" at the top then "Filters" on the left.
2. Choose "New Filter" and name the filter anything you'd like.
3. Select filter by Subject, From, To, et cetera from the drop down box. For example, click "Subject" in the drop down box.
4. Enter the verbiage you wish to filter in the Contains field. For example, if you want to filter all email that has the subject containing the word Dogs, you will want to type the word Dogs in the field.
5. Under "Perform the following actions:" you can choose Redirect to Address then enter the Email address you want the message to go to. Lastly, click "OK" then click "Save" in the upper left hand corner.
This example will automatically forward all email received with the word Dogs in the subject line to the email address you specified.
To organize your sent email:
1. Right click the Sent folder on the left and choose new folder. Name the new folder and click OK then click Save at the top left.
2. Click "Preferences" at the top then "Filters" on the left.
3. Click Outgoing Message Filters then choose "New Filter" and name the filter anything you'd like.
4. Select filter by Subject, From, To, et cetera from the drop down box. For example, click "Subject" in the drop down box.
5. Enter the verbiage you wish to filter in the Contains field. For example, if you want to organize all email that has the subject containing the word Birds, you will want to type the word Birds in the field.
6. Under "Perform the following actions:" you can choose Move into Folder, click Browse, then choose the new folder under sent that you created. Lastly, click "OK" then click "Save" in the upper left hand corner.
This example will automatically organize all email sent with the word Birds in the subject line to your new Sent subfolder.
